Purpose of Job

The Wedding Coordinator assists couples with weddings and rehearsals held in the PCPC sanctuary or chapel and, when requested, coordinates receptions in the PCPC Fellowship Hall. This role ensures all wedding-related events align with the church’s theological commitments, policies, and logistical requirements. The Wedding Coordinator serves as the PCPC point person at wedding rehearsals and on the wedding day; also serves as a liaison between the couple and various church staff members and volunteers. The Wedding Coordinator manages logistics, coordinates details, troubleshoots any issues that arise, and facilitates reverent, organized, and joyful celebrations of Christian marriage.

PCPC recognizes a wedding as a worship service where two people enter into a holy covenant and connect with others as they publicly declare and celebrate their commitment to each other and to God. Through the prayerful planning of the music and the homily, beautiful and memorable services that are a living reflection of Jesus Christ, the Bridegroom, with His Bride, the Church, serve as a reminder of our abiding relationship with the Lord. These practices and imagery extend the love of our Savior, Jesus Christ, to friends, family, and guests who attend the wedding.

Individual Job Responsibilities

Ceremony Coordination (Sanctuary/Chapel)

  • Serve as the main point of contact for couples from the initial inquiry through the wedding day.
  • Schedule and attend two to three meetings with each bride to discuss ceremony details, requirements, and church policies.
  • Clearly communicate and uphold church wedding policies and theological expectations.
  • Schedule and facilitate the use of the sanctuary or chapel for ceremonies and rehearsals, utilizing eSpace.
  • Guide couples through necessary paperwork and requirements (discuss and complete Wedding Request Form, Ceremony Planning Form, schedule approval meeting with officiating pastor, etc.)
  • Coordinate and confirm wedding plans with the officiating pastor (or pastors) to ensure the ceremony content aligns with PCA doctrine and church guidelines.
  • Oversee and lead the wedding rehearsal, ensuring participants understand their roles and timing.
  • Be present on the wedding day to support the couple, guide the wedding party, manage the schedule, and handle any issues that arise.

Reception Coordination (Fellowship Hall)

  • Schedule and facilitate planning and logistics of all Fellowship Hall receptions.
  • Assist couples in understanding the timeline for setup, decoration, food service, and clean-up guidelines.
  • Schedule and confirm any additional support needed, such as audio-visual (AV) support, event assistants, etc.
  • Coordinate with external vendors (caterers, florists, photographers/videographers etc.) as needed.
  • Establish a timeline of events, ensure events adhere to facility rules, and run on schedule.

Wedding Weekend Oversight

  • Coordinate and lead the wedding rehearsal, ensuring all participants understand their roles.
  • Arrive early on the wedding day to oversee set-up and ensure everything is in place (altar, seating, decor, etc.).
  • Provide calm, clear direction to the wedding party, family members, and guests.
  • Ensure the ceremony proceeds smoothly and reverently in alignment with church expectations.

Collaboration & Communication

  • Serve as the communication hub between the couple and internal church staff involved in weddings, including the following departments:

    • Facilities Team (room, setup, cleaning, access, etc.)
    • AV/Tech Team (microphones, sound, video, live-streaming, etc.)
    • Music Director and/or Musicians (coordinates and approves ceremony music within church guidelines, and finalizes wedding program)
  • Proactively confirm timelines, assess needs, and responsibilities with all parties.

  • Maintain accurate records of scheduled weddings, contracts, and payments.

  • Attend periodic planning or training meetings as required.

  • Communicate with other church wedding coordinators as needed for fellowship and sharing of best practices and ideas.

Education and Experienced Preferred

College degree is preferred. Five years of experience in wedding and/or event coordination is strongly preferred. Must possess a knowledge of and solid understanding of the wedding industry. Proficiency in Microsoft Office (including Teams) is needed. Ministry Platform and eSpace are used databases at PCPC; must be willing to learn. Must be available for rehearsals and weddings in the evenings or weekends.
